Detail D4 — Data automation

Type it once. Use it everywhere.

Most small businesses run on a handful of tools that don't talk to each other: a CRM, a spreadsheet, accounts, a booking system, a shared inbox. Someone ends up copying details from one to the next. We connect them, so information moves on its own and stays the same everywhere.

Table D4 — Scope

What data automation covers.

D4.1Included

Tool map

Which tools hold which information, and where it's typed in more than once.

D4.2Included

Connections

Your CRM, spreadsheets, accounts, booking and email tools linked so changes flow between them.

D4.3Included

Clean-up

Duplicates merged, gaps filled and formats made consistent before anything is connected.

D4.4Included

Documents to data

Details pulled out of invoices, forms, PDFs and emails by AI, and checked before they're saved.

D4.5Included

Rules and checks

Missing or odd-looking details flagged instead of passed on.

D4.6Included

Alerts

Someone is told when a connection fails, so records never quietly fall out of step.

Notes — Signs you need it

You'll recognise these.

  1. 01The same customer appears three times in your CRM, spelled three ways.
  2. 02Someone spends Friday afternoon updating a spreadsheet from the inbox.
  3. 03Invoices are typed in by hand from PDFs.
  4. 04Nobody's quite sure which list is the up-to-date one.
Specification — How we build it

Reliable, then clever.

  • Plain automation firstMost data moves with simple, reliable rules. We use AI only where reading or judging is needed.
  • Checked before it's savedAI-extracted details are validated, and doubtful ones go to a person.
  • Built to changeWhen you swap a tool, only one connection changes, not the whole set-up.
General notes — FAQ

Questions about data automation.

Which tools can you connect?

Most business software can be connected through n8n, Make or Zapier. Where a tool isn't supported, we build the connection in code.

Is it safe to let automation change our records?

We start cautiously: new records and clear updates are automatic, anything ambiguous waits for a person. Every change is logged, so it can be traced and undone.

Our data is a mess. Do we need to fix it first?

We fix it as part of the project. Cleaning up comes before connecting, otherwise the automation just spreads the mess further.
