Detail D1 — Enquiries

No enquiry left waiting in an inbox.

Enquiries arrive by email, web form, chat and social messages, often while you're busy doing the actual work. Some get answered late, some get lost. We set up a workflow that reads every enquiry, works out what it is, logs it and sends a useful first reply, then hands it to the right person.

Table D1 — Scope

What the workflow does.

One inbox for every channel

Enquiries from email, forms, chat and social messages collected in one place.

D1.2Included

Sorting

Each enquiry tagged by service, urgency and value, with spam and sales pitches filtered out.

Missing details

If the enquiry lacks something you need, like a postcode or a budget, the reply asks for it.

D1.4Included

First reply

A quick, helpful reply in your tone, sent straight away or held for approval.

D1.5Included

Logged in your CRM

The contact and enquiry recorded, so nothing lives only in someone's inbox.

D1.6Included

Hand-over

The right person is told, with a summary and the next step suggested.

D1.7Included

Follow-up reminders

A nudge when an enquiry hasn't had a reply or a follow-up in time.

Notes — Why it matters

Speed wins work.

  1. 01People often contact several businesses at once, and the first useful reply has a head start.
  2. 02Enquiries that arrive in the evening or at weekends get a reply before Monday.
  3. 03Nobody has to retype details from an email into the CRM.
  4. 04You can see how many enquiries came in, from where, and what happened to each one.
Specification — You stay in control

General notes — FAQ

Questions about enquiry handling.

Will customers know a reply was automated?

The first reply is written to be helpful, not to pretend. If an assistant is answering, we can say so. Anything that needs a person's judgement goes to a person.

What if the AI sorts something wrong?

It happens occasionally, so we build in checks. Low-confidence enquiries go to a person, and you can correct the tag in one click, which we use to improve the rules.

Does it work with our CRM?

Almost certainly. We connect to the tools you already use, and if a connection doesn't exist we build it.
